Report 2005 - Management Report - End of Month Enrollment is looking at participants with Accepted, Enrolled, Dropped, Term/Wait and Completed statuses enrolled or still accepted on the reporting date that you specify. This report also takes account of the Dropped participants who were Dropped up to 30 days from the reporting date who have not yet been replaced (this is considered a vacancy). If you run this report in Detail mode, it will show the vacancies and drop dates for participants who left the program, also known as vacancies, along with the names of enrolled participants. ChildPlus tracks vacancies to reflect turnover in enrollment for the month.

 

The totals on report 2005 - Management Report - End of Month Enrollment reflect the total number of participants enrolled on the reporting date plus the total number of participants who were Dropped less than 30 days prior to the reporting date and have not yet been replaced. An important thing to remember about this report is that it is not a report for the entire month; it is a report on enrollment for the reporting date you specify. To verify the total number of participants enrolled on this date, you can run report 2007 - Historical Enrollment Report for the reporting date for enrolled participants only. This will verify the number of enrolled participants. To verify the vacancies and see which participants were replaced and who their replacement was, try running report 2210 - Enrollment Turnover.

 

The 2210 - Enrollment Turnover report lists participants who have transferred or been Dropped from the program, as well as the participants who replaced them within a specific target replacement period. ChildPlus calculates turnover during the replacement period by filling all funded slots before replacing Dropped participants. ChildPlus uses funded enrollment to calculate open slots on this report. Because of this, ChildPlus requires that you provide funded enrollment information for each program term and classroom that is included on the report. If you have not entered funded enrollment information for your program terms or classrooms yet (this information is set via Setup > Agency Configuration > Program Info), ChildPlus will display a warning message that tells you which classrooms are missing funded enrollment information.

 

On Report 3001 - Management Report - Health Services, when looking at 45-day and 90-day health requirements, the Under Req means that those requirements were met before the 45 or 90 day deadline passed. Over Req refers to whether or not the requirement was completed past the 45 or 90-day mark. Children who are Total Comp will either fall in the Under Req or Over Req category since they either finished their requirements before or after the deadline.

 

Certain reports in ChildPlus will pull from the School Year Cut-Off date. If a participant was born after the cut-off date, the report may show a negative number for their age.

 

Report 2030 - PNPT Rollover can be used to find the current age of participants and their ages on the School Year Cut-Off date for next fall.

 

Report 2025 - Enrollment Priority Listing can be used to track the eligibility points, income, poverty level and more for your participants. You can also use it to sort participants for the new school year.

 

Report 2003 -Enrollment Demographics can be run to see the age ranges of participants as of any given date. These reports will help you find participants who are eligible for the next school year.

 

When a participant transitions from Early Head Start to Head Start, you will need to complete the participant by terminating their EHS record and checking the Completed Program box. ChildPlus will automatically populate the participant's Drop Reason as aged out of the program and this will effectively close out the participant’s participation record. Once the participant's EHS record is finalized, you will need to create a new record for the HS program where you can Accept, Waitlist or Enroll the participant accordingly.

 

How do I change the site/classroom for my enrolled participants? Once you've enrolled a participant, their site and classroom cannot be edited. The correct way to transfer a participant from one site and/or classroom to another is to use the Transfer Classroom button. If the participant is switching programs, please refer to the above how do I transition participants during the school year from EHS to HS question. If you drop the participant, a gap in their enrollment will be documented and they will still appear in their old site/classroom. You should only Un-enroll a participant who was enrolled accidentally because the process deletes all of the participant’s attendance records.

 

In ChildPlus, the Entry Date is the date that starts the clock for health requirements. In reference to health requirement sets, 45 and 90-day requirements begin tracking on this date and the prior months will look back from this date. Typically, a participant's Entry Date will be the same as their Enrollment Date, but it can occur later (and even earlier) than the Enrollment Date. When a participant drops and then re-enrolls, their Entry Date can be manually changed to the new Enrollment Date; otherwise, ChildPlus will track the participant's health requirements as of their initial Entry Date.

 

In ChildPlus, the Enrollment Date is used to indicate the participant’s first day in the classroom. This will begin attendance for the participant, and this date must fall after the classroom's Begin Date. The Enrollment Date can change if the participant drops and then re-enrolls.

 

Participants who are listed as Abandoned are those who are never expected to enter into a program. They may have been Waitlisted or even Accepted at one time, but they are no longer going to enroll in a program. In order to enroll a participant who was accidentally Abandoned, you would need to clear their Abandoned date from the Enrollment module. Once participants no longer have a status of Abandoned, they can be enrolled.

 

The enrollment status of a participant works from left to right, so that the field farthest to the right always takes precedence over the others. If a participant is Waitlisted and then Accepted, he or she will have a status of Accepted. The one exception is the status of Term/Wait. If a participant is Dropped and there is a Waitlist date, the Waitlist date will take precedence and the participant will have an Enrollment Status of Term/Wait.

 

Report 2007 - Historical Enrollment Report, will show enrollment numbers for a specific date, or date range. If you run this report for Dropped, Term/Wait, and Completed participants, you will also find the total number of participants who had been enrolled for at least one day during a given period of time.

 

First, make sure the Number in Family field has been filled out in the participant’s enrollment record. Second, check the Poverty Level that is set for each program term. You can check these by clicking Setup > Agency Configuration > Program Info and choosing the participant's program term.

You can unlock a user in Teaching Strategies GOLD by following these directions :

1. Log into Teaching Strategies GOLD as an administrator.
2. Click on Administration > Manage Users > Teachers & Administrators.

This problem is actually due to the DPI settings on your computer. ChildPlus was designed against a normal 96 DPI setting so anything larger will cause the display to be disproportionate. Once it’s adjusted, you’ll see that everything will be visible again. If you need to reset your DPI, follow these steps:

1. Right-click an empty area on the desktop and choose Properties.
2. Click into the Settings tab.
3. Then go into Advanced.
4. Under Display area, set the DPI to Normal (96 DPI).

Yes, multiple databases can be accessed on the same computer if you create multiple shortcuts to them. In order to access multiple databases from the same machine, you will need to locate the ChildPlus.exe file in the ChildPlus folder. You can find this folder on either your Local C:-drive or through Program Files (depending on where you initially installed ChildPlus.).

 

Once you locate the ChildPlus.exe file:

 

1. Right-click on the ChildPlus.exe file
2. Select Create Shortcut.
3. Manually edit the shortcut’s Target by adding a space after .exe and typing -AgencyName:___ (for ____, type the database name without any spaces). For example, -AgencyName:Demo or -AgencyName:ChildPlus).

 

The following example shows a shortcut that has been modified to connect to a database named Demo:

 

 

Whenever you launch ChildPlus from the new desktop shortcut, ChildPlus will display the name of the database that you are connected to at the top of the screen:

 

 

According to PIR guidelines, full-year options should begin between August 1st and September 15th and should not exceed 12 months. Program terms can be run back-to-back (for example, the begin date would be 9/1/2020 and the end date would go to 8/31/2021), then next year the begin date would be 9/1/2021 and so on.

 

Your PIR enrollment year's Begin Date and End Date should always encompass the program term that participants apply to. For example, if the program term runs 8/15/20 until 5/31/21, then the PIR Begin Date must be on or a little before 8/15/20, and the End Date must be on or after 5/31/21. Otherwise, not all of your participants will be tracked on the PIR.

 

Important:  Ideally, your PIR enrollment year's Begin Date should be the same as the program term's Begin Date (you can check it by clicking Setup > Agency Configuration > Program Info).   Your PIR enrollment year's End Date must be within 12 months of your PIR enrollment year's Begin Date. Ideally, it should be the same as your program term's End Date (you can check it by clicking Setup > Agency Configuration > Program Info).

 

Dental Exams (C.18) are set up by checking the appropriate boxes on the Health Event Setup screen and adding them to your requirements set. The PIR counts dentals towards question C.18 as long as the participant had one done prior to the date the PIR is due (for example, August 31, 2021).

In order to be counted towards this question, participants need to be newly enrolled.   ChildPlus considers participants newly enrolled if they have never before been enrolled in the PIR program that they are being counted towards. For example, if a participant was enrolled in Early Head Start last year but is enrolled in Head Start this year, they would be considered newly enrolled in the Head Start program because they have never been enrolled in a Head Start program before.

 

In addition to being newly enrolled, participants also need to have a health event that occurred between the Date last year’s PIR was reported and the PIR Enrollment Year End Date. The event also needs to have taken place within 45 days of the newly enrolled participant’s Enrollment Date.

 

Finally, in order to be counted toward C.27, the health event needs to qualify as a Developmental Screening, Behavioral Screening, Sensory – Auditory Screening or Sensory – Visual Screening event. You can indicate if a health event fulfils one of these screening types when you set up health events in ChildPlus (via Setup> Module Setup > Health EventsExamples of items you can track as health include: Physical Exams, Dental Exams, Eye Exams, TB Screenings, and Well Baby Checks.).

 

You can have a single event set up to meet all four of the criteria above or you could have 2, 3, or 4 individual health events meet the requirement. As long as some valid combination meets the four screenings, the participant will count for C.27. We recommend running report 9714 to find a list of participants not counting for C.27 and the reason(s) why. This report can then be compared to report 9709, which shows the participants counting for C.27 for the PIR year.

ChildPlus uses CLASS^® under a license agreement with it's publisher. The intent of the CLASS^® module in ChildPlus is to allow you to generate meaningful reports for individual classrooms and summary reports across your organization. Our license agreement does not permit tracking each observation cycle in ChildPlus.

We do not currently have the capability to attach documents to the emails sent from ChildPlus.

You can view LiveMessages that you have already sent to family members via ChildPlus if your ChildPlus Administrator configured the message to be logged in Email/Text Message Settings. Provided that the LiveMessage was sent to family members and the message was configured to be logged in the Communication Log Family Services event, you can run a Family Services report (for example, 4110-Family Service History or 4130-Family Service Actions) to pull actions from the Communication Log event.
